Whether Paris, New York or Tokyo: The Federal Foreign Office uses the "E-Akte Bund" based on the Fabasoft eGov-Suite at all locations worldwide for their electronic records management. Since the completed roll-out in December 2022, around 10,000 employees at the headquarters in Berlin and Bonn as well as all embassies worldwide use the Fabasoft eGov-Suite for virtual collaboration.

Worldwide training courses qualify users

During the roll-out, the project team, consisting of internal and Fabasoft employees, provided training for the authority’s employees around the globe. The focus was on the basic functions of the electronic records management. After the roll-out phase, the project is now focusing more on the aspects of efficient collaboration. This includes the use of the informal workspace and the use of workflows. Subject-related team coaching sessions support users in achieving a common understanding of the processes within units and embassies.

"E-Akte Bund" modernizes processes

The "E-Akte Bund" puts previous analog processing procedures to the test. The key here is to rethink processes and adapt them to the digital transformation. The focus on a digital way of working is accompanied by the requirement to transfer all relevant procedures to the "E-Akte Bund". At the same time, knowledge transfer must be significantly improved. Connecting employees at the headquarters and the embassies abroad is a major step toward the digital transformation of the Federal Foreign Office.

The Federal Foreign Office comprises all German embassies and consulates worldwide. The authority represents Germany's interests, maintains relations with other countries and thus promotes international exchange. The office also provides assistance and support for German citizens who are abroad.
