With its latest release, Fabasoft Approve expands the capabilities of AI-supported document processing. Metadata extraction now offers new features for summaries, improved traceability, and easier configuration. In addition, document reviews can be designed with greater flexibility and integrated directly into deployment processes.

 

KI-supported metadata extraction becomes even more versatile

In addition to individual metadata, metadata extraction can now also generate summaries based on defined properties. Instructions for this can be specified directly within the respective extraction definitions. During metadata extraction, the AI uses these to generate an appropriate summary.

Metadata extractions are now also more traceable. Each time an extraction is performed, a signature is applied to the object, making it clear whether an extraction has already been carried out. Additionally, the metadata extraction log stores important information such as the extraction method used and the time of execution.

AI can also simplify the creation of extraction definitions. Using “Generate Extraction Definitions,” the AI creates appropriate definitions for selected properties and pre-fills their properties. This significantly reduces the manual effort required for configuration.

 

Open-Ended Questions for More Flexible Document Checks

Document checks can now be designed with even greater flexibility. In addition to traditional yes/no questions, you can also define open-ended questions with freely formulated answers. This makes document checks equally suitable for specific questions where a predetermined list of answer options is insufficient.

Integrating document reviews directly into the document submission process

Before suppliers submit a document, a document review can now be conducted. The review is defined based on the original document and must be completed before the supplier submits the associated document entries.

You can configure individually whether the check must be successfully completed before the supplier is allowed to submit the associated document entries. This allows quality-related checks to be integrated directly into the submission process and requirements to be verified even before submission.

 

Reusing Existing Comments in Document Requests

The document request feature has also been enhanced with a practical new function. For parent documents, existing comment entries can now be selected and forwarded to the supplier. Comment entries from other parent documents are also available.

The available comments appear in the “Additional Comments” tile and can be specifically selected for the respective document request. This allows existing notes and information from the document hierarchy to be reused without having to re-enter them.
